Tips for Renewing Your Passport by Mail
We are pleased to see that many U.S. citizens in Malaysia have been utilizing our new Passport Renewal by Mail and One-Way Delivery Service options, launched on September 1, 2021. As increasing numbers of U.S. citizens have elected to use these options, the American Citizen Services Unit wishes to share some tips below.
Passport Renewal by Mail
- Eligibility: Adult U.S. passport holders may renew their ten-year passport and/or passport cards by Aramex courier service if their most recent U.S. passport and/or passport card is:

- Undamaged;
- Issued when the bearer was 16 years old or older;
- Issued within the last 15 years;
- Issued with a 10-year validity; and
- Issued in the bearer’s current name; or if legal documentation of a name change is also submitted.

- Passport Photos: Make sure your passport photo meets our passport photo requirements. Common mistakes include sizing the photos incorrectly and/or failing to remove your glasses for the photo.
- Fees: Make sure your fee payment is in the exact amount listed below. Do not round up or down. Applications which contain incorrect fee payments cannot be accepted and will be returned to sender, costing you time and money. Passport fees are non-refundable and no other method of payment for renewal by mail can be accepted.
- Passport fees must be paid by banker’s cheque (U.S. dollar or Ringgit) made out to ‘U.S. Embassy Kuala Lumpur’. Current fees in Ringgit (as of November 24, 2021) are listed below. We will update the fee information on our website at least one week in advance of any change in our official exchange rate. Check the fee on our website before you apply.
- Passport fee (USD $110.00): RM 473.00
- Passport card fee (USD $30.00): RM 129.00
- Aramex delivery service fees must be paid by banker’s cheque made out to ‘Aramex Malaysia Sdn Bhd’. Aramex fees are listed on our website.
- Passport fees must be paid by banker’s cheque (U.S. dollar or Ringgit) made out to ‘U.S. Embassy Kuala Lumpur’. Current fees in Ringgit (as of November 24, 2021) are listed below. We will update the fee information on our website at least one week in advance of any change in our official exchange rate. Check the fee on our website before you apply.
- Passport Cards: Although you may submit a single DS-82 application to renew both your passport and your passport card if desired, please note that completed passport books and passport cards arrive at the U.S. Embassy in different shipments and passport cards typically take several weeks longer to receive. Due to the volume of cases, and to avoid delays in delivering your new passport, we cannot cross-associate these documents for return together. Therefore, applicants renewing both a passport and a passport card simultaneously must utilize our one-way return delivery service to have the passport card mailed back to them.

One-way Delivery Service
- Eligibility: U.S. Passport and Consular Report of Birth Abroad (CRBA) applicants who applied in person may opt to receive their new passports and/or CRBAs via Aramex courier service in lieu of returning to the U.S. Embassy a second time to collect the completed passport and/or CRBA.
- Appointment Instructions: Please review the Passport Services or CRBA Services page to make your passport or CRBA appointment.
- Cancelation of Existing Passport: If you are renewing a U.S. passport, please note that your existing U.S. passport will be canceled during your passport interview and returned to you. This ensures that you do not need to resubmit your passport to us for cancelation prior to receiving your new passport. Notify our team during your interview if you do NOT wish your current passport to be canceled (if, for example, you plan to travel using your current passport prior to receipt of your new passport).
- Obtaining the Aramex Waybill: Following your appointment, contact Aramex courier service by email (all_kul_customer_service_us_embassy@aramex.com) to purchase an Aramex airway bill. Once Aramex confirms that your payment has been received, Aramex will email you an electronic copy of your Aramex airway bill(s). Forward the Aramex airway bill(s) to KLACS@state.gov so that we can use the airway bill(s) to return your new document(s) to you via mail once received.
